Who we are

Air-Plan is an aviation operations platform. References to "we", "us", or "Air-Plan" in this policy mean the operator of this platform.

What data we collect

When you register we collect your name, email address, username, and the IP address used to accept our terms. Your password is stored as a one-way hash (Argon2ID) — we cannot read it.

When you use the platform we store the operational data you enter: flights, sectors, logbook entries, schedules, weight & balance records, and any files you upload.

Cookies and local storage

We use cookies and browser storage in two categories:

• Essential cookies — a session cookie to keep you signed in, extended to 30 days if you choose "Remember me". These are strictly necessary and cannot be declined.
• Analytics & marketing cookies — we use services such as Google Analytics and social media pixels (e.g. Meta Pixel, LinkedIn Insight Tag) to understand how the platform is used and to measure the effectiveness of our marketing. These are only loaded if you accept optional cookies.

We also use your browser's localStorage to remember your preferences (theme, unit settings, sidebar state) and to store offline data. No personal data is sent to third parties via localStorage.

Third-party services

The interactive map uses tile services to render the base map (OpenStreetMap, CARTO, Esri) and aviation overlays (OpenAIP). When you view the map your browser makes requests to these services, which may log your IP address and the map area you are viewing in accordance with their own privacy policies. These requests contain no personal account information.

Location searches may use the What3Words API or OpenStreetMap Nominatim. Search terms you enter are sent to these services to look up coordinates.

If you accept optional cookies, analytics data is shared with Google LLC (Google Analytics) and may be shared with social media platforms whose pixels are active on our site. Each of these providers operates under its own privacy policy and may process data outside the UK.

How we use your data

• To provide and operate the Air-Plan platform
• To send transactional emails (account verification, password reset)
• To maintain security logs and prevent abuse
• To analyse usage patterns and improve the platform (with your consent)
• To measure marketing campaign performance (with your consent)

We do not sell, rent, or share your personal data with third parties for marketing purposes beyond the analytics and advertising services described above.

Data retention

Your account and associated operational data are retained for as long as your account is active. You may request deletion of your account and data by contacting us.

Your rights

Under UK GDPR you have the right to access, correct, or erase your personal data, to restrict or object to processing, and to data portability. To exercise any of these rights please contact us.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of Air-Plan after a change constitutes acceptance of the updated policy.
